What is a rule in Unito?
Rules in Unito tell your flow which items to keep in sync between your tools. This step represents the 'If this happens, then that should happen' portion of a flow.
How is this different from other automation or integration tools?
Virtually all other automation platforms only sync data based on very rigid criteria. This often looks like a series of triggers that must be set manually.
Unito, on the other hand, syncs all items in a container by default. So instead of having to carefully select a series of events to trigger one sync, you simply set exclusions for the items you don't want to sync.
Every new flow begins with a set of default rules that you can adapt to your needs. The default rules essentially tell Unito what to do if you don't configure field mappings in the next step of your flow.
The rules of each flow include three important concepts:
Include or exclude items: Based on supported fields, including: status, assignee, labels, or custom fields. This is represented in the top half of the image above.
Actions: Perform specific actions when certain conditions are met (e.g., send a notification, update a field). This is represented in the bottom half of the image above.
Creation date filter: A rule can be set so new flows will only sync items created after launching. The creation date rule is there as a safeguard, so you can test a flow before syncing live data. Unfortunately, you cannot modify the date - it can only be added or removed.
By combining and customizing rules, you gain precise control over your Unito flows, ensuring only the right data syncs in the way you need it to.
How to set rules in Unito
You can modify the rules of your flow at any point to change how your items stay in sync.
- Access your flow's rules: Start by opening your flow and selecting the rules tab.
- +Add a New Rule: Select the field you want to base your rule on from the dropdown menu.
- (optional) Remove a rule: to remove a rule from your flow, simply click the trash icon on the right-hand side of the screen.

Set the Condition: Choose an operator (e.g., "is" or "is not") and specify the value or criteria you want to match.
How to set rules by status, tag or label
If you add a rule based on a single or multi-select field, such as Labels or tags, you can choose individual values to include or exclude in your rules.
Syncing multiple rule values
Your rule doesn't have to stop at a single value! When you're clicking on the values you want to include in your rule, you can keep clicking to add more of them.
In this example, the user has selected both the blue label and the green Client 1 label as a trigger to sync. Now, cards with either the blue or green label will sync (or both!). You could keep clicking on labels until you had all the labels you want to sync. No need to create any additional rules!
Adding actions to your rules
In one-way flows, you can automatically set default labels, tags, sections, and other settings for synced work items. You can click Add a new action for each action you'd like to include.
Don't see options for adding a new action? Try changing your flow direction to 1-way.
Examples of rules
Rules can be used to empower any number of use cases. All you need to do is pick the right triggers and actions. Here's how you can build some of the most common Unito rules for your use case.
Filtering work items by assignee
With this rule, work items will only be synced between tools if they're assigned to a specific person.
Filtering work items single select dropdowns, status or stage
Here's an example of a deal synced based on a specific stage of a sales pipeline. The same concept applies to statuses and single-select dropdowns.
Only sync items from a specific grouping
Most tools have their own version of groupings within a project. For example, ClickUp or Trello lists, Asana sections, etc. With this rule, Unito will only sync work items that are in a specific grouping. If they are moved from that grouping to another, Unito will stop syncing that item.
