The value of a team view workflow

When you've got a huge backlog with tasks for multiple teams in your organization, it can be very challenging to keep track of what your team is responsible for vs. what other teams are delivering. One way to simplify this is to create a team view workflow where you separate out all of the tasks from a given project into different teams.

In the personal view workflow, we created a flow that brought tasks assigned to one person in many projects into one project for just that person, based on who the task was assigned to. The Team View Workflow is almost the opposite of that. There are 3 ways you can filter your tasks here: by person, by label, or (in some applications) by issue type.

How to build a team view workflow with Unito

  1. Go to app.unito.io
  2. Create a new sync
  3. Select the source tool & project that you want to sync team-specific tasks from
  4. In the Only sync tasks with any of the following labels, put in “Mobile Dev” and click Next
  5. Create a new Trello board as your destination
  6. Under Only sync tasks with any of the following labels put something memorable which references the source project. You need to do this because syncs are 2 way, and if you don't apply an incoming tag, all of the tasks from any future project you sync to this board will sync back to the source project and make a mess
  7. Click on Save & Sync (or Customize Sync if Save & Sync isn't available)
  8. The cards copy over!
  9. Maybe you want to change the lists in your Trello board from Unito's default to something more customized. Feel free, and when you've finished creating the lists in your destination Trello board, it's easy to update what happens
  10. Go back to app.unito.io, click on Edit Sync for the sync you just built
  11. Click on the blue FIELDS menu option
  12. Scroll down to List / State mapping and click on the blue gear
  13. Re-map how lists and statuses are mapped between the two tools
  14. When then sync updates, all of the cards will move where the new configuration says they should
  15. Once you're done with this, create another new sync
  16. Select the source tools & project that you want to copy only tasks assigned to you from.
  17. In the Only sync tasks with any of the following labels, put in “Backend Dev” and click Next
  18. Create a new Trello board as your destination
  19. Under Only sync tasks with any of the following labels put something memorable which references the source project
  20. Click on Save & Sync (or Customize Sync if Save & Sync isn't available)
  21. You're done!

You've now created two different team views from one source backlog: a Mobile Dev team view and a Backend Dev team view. You could split this basically an infinite number of ways, making new views for every team you need to. You could even assemble quick views on the fly based on who tasks are assigned to in order to make sure that cross-functional groups can see their own joint to-dos in a flash.
